Privacy Policy

1. Overview

UpIce("we", "us", "our") is committed to protecting the privacy of players, coaches, and league administrators. This policy describes what data we collect, how we use it, and your rights. We are aware that youth hockey players may be minors, and we take extra care with any data that may relate to individuals under 18.

2. Data We Collect

Account Data

  • Name and email address (required for account creation)
  • Mobile phone number (required for account creation — used to verify your identity and, if you consent, to send you text notifications; see Section 6)
  • Date of birth (used to confirm account holders are 18+)
  • League or team affiliation
  • Role (admin, coach, player, scorekeeper)

Game and Performance Data

  • Game events: goals, shots, passes, zone entries, penalties, faceoffs
  • Derived statistics: Corsi, Fenwick, TOI, xG, line combinations
  • Player positions and roster information

Video and Computer Vision Data

  • Game video uploaded by league administrators
  • Player tracking coordinates derived from video (anonymized track IDs unless manually labeled)
  • CV-generated position data stored as compressed Parquet files

Usage Data

  • Pages visited and features used (via server logs)
  • Browser type and operating system (for bug fixes)
  • Error logs and crash reports (via Sentry)

3. Minor Players (COPPA Awareness)

Many hockey players are under 18. UpIce is used by league administrators and coaches — not directly by minors. However:

  • Player names and statistics are visible to all authenticated users within your league.
  • League admins are responsible for obtaining appropriate consent before uploading video that depicts minors, in accordance with applicable laws in their jurisdiction.
  • We do not collect data directly from minors. Account creation requires an adult (18+).
  • Leagues may enable anonymization mode, which replaces player names with jersey numbers in public-facing views.
  • Player data is stored on behalf of the league and can be deleted upon request.

4. How We Use Your Data

  • Providing and improving the UpIce platform
  • Generating analytics, statistics, and AI coaching reports
  • Sending service communications (account updates, billing, feature announcements)
  • Debugging and improving platform stability
  • Improving our CV and analytics models using aggregated, anonymized data

We do not sell your data. We do not use your data for advertising. We do not share personally identifiable information with third parties except as required by law or as described in Section 5.

5. Third-Party Services

  • Supabase — database and authentication hosting. Data is stored on Supabase-managed PostgreSQL in US-East regions.
  • Vercel — dashboard hosting and CDN. Processes web requests and serves static assets.
  • Cloudflare R2 — video and large file storage. Game video is stored encrypted at rest.
  • Sentry — error monitoring. Captures anonymized error traces to diagnose bugs.
  • Anthropic / OpenAI — AI coaching report generation. Game data summaries are sent to generate reports; no personal player information beyond names and stats is included.
  • Twilio — text message (SMS) delivery. Your mobile number is passed to Twilio solely to deliver the messages described in Section 6. Twilio acts as our carrier and does not use your number for its own purposes.

6. Text Messages (SMS)

What we send

  • Verification codes — a one-time code to confirm you control the phone number on your account. Sent only when you sign in or verify your number.
  • Team and game notifications — schedule changes, game reminders, and roster updates, if you opt in.

How you opt in

You provide your mobile number during signup on upice.io and separately tick a consent checkbox — it is never pre-selected — to receive text messages. Consent to receive marketing or notification texts is not a condition of using UpIce.

Message frequency

Message frequency varies. Verification codes are sent only when you request one. Team and game notifications are typically fewer than 10 messages per month, depending on your team's schedule.

Rates

Message and data rates may apply. UpIce does not charge you for text messages, but your mobile carrier may.

Opting out and getting help

Reply STOP to any message to unsubscribe from text messages at any time. Reply HELP for assistance, or email hello@upice.io. You can also turn text notifications off in your account settings. Opting out of notifications does not delete your account.

We do not share your mobile number

We do not sell, rent, or share your mobile phone number or your SMS consent with any third party for their own marketing purposes. Your number is shared only with Twilio, our messaging provider, for the sole purpose of delivering the messages described above. No mobile information is shared with third parties or affiliates for marketing or promotional purposes.

7. Data Retention

Game data, statistics, and video are retained for the duration of your league's active subscription plus 90 days after cancellation. You may request deletion at any time. Error logs are retained for 30 days. Waitlist emails are retained until you unsubscribe or request deletion.

8. Your Rights

  • Access: Request a copy of all data we hold about you or your league.
  • Correction: Request correction of inaccurate data.
  • Deletion: Request deletion of your account and associated data.
  • Export: Download your league's game data in CSV format at any time from the dashboard.
  • Opt-out: Unsubscribe from marketing emails at any time via the unsubscribe link or by emailing us. Reply STOP to any text message to unsubscribe from SMS (see Section 6).

9. Security

UpIceuses industry-standard security practices: TLS encryption in transit, encryption at rest for sensitive data, row-level security in our database, and regular security audits. We use Supabase's managed authentication and enforce role-based access controls.

10. Changes to This Policy

We may update this Privacy Policy. Material changes will be communicated via email with at least 14 days notice. The current version is always available at upice.io/privacy.
